Square and QuickBooks — Synced, Not Pasted
Square deposits hit the bank net of fees, batched across locations — and someone in the office spends days matching them to sales in QuickBooks. Our connector posts Square settlements into QuickBooks properly: gross sales, Square fees, tips, refunds, each coded where it belongs. For Desktop files, it runs through the same agent that powers our data-access product.
Sales, fees, tips and payouts from Square into QuickBooks — reconciled, not pasted
The Square + QuickBooks Trapped-Data Problem
Net deposits don't match anything
Square pays out net of fees across locations and days — matching to individual sales in QuickBooks is manual spreadsheet work.
Fees and tips get buried
Square's processing fees never get properly expensed and tips never get properly allocated — the P&L quietly distorts.
Desktop files can't connect
Square's own integrations target QuickBooks Online — if your books are on Desktop, you're doing it by hand.
Month-end becomes Square week
Sales per location, fees per channel, payouts per day — the reconciliation takes a week of someone's month.
How It Works
Agent on your server
A lightweight agent installs beside your existing system — reads the data store directly, makes outbound connections only. No open ports, no VPN, no firewall changes.
Continuous replica
Your records flow to an encrypted, read-only cloud copy via a private tunnel — change-tracking, not dumps. The production system never takes the load.
Web dashboard
Your team searches, reports and browses from any browser or phone — scoped and audited. Answers from the data, not access to the server.
What Your Team Can Finally Do
Common Square + QuickBooks Scenarios
The café with a week of month-end
Daily settlements post automatically — sales, fees, tips — and the owner reconciles in minutes, not days.
The multi-site retailer
Five Square locations, one QuickBooks file — consolidated and per-site views, fees properly expensed per channel.
The Desktop holdout
QB Desktop users get real Square sync — the integration Intuit never built for Desktop, via the agent.

Square + QuickBooks Data Access FAQ
Does this work with QuickBooks Desktop?+
Yes — this is the piece Square's own integrations don't do. Our agent posts into Desktop company files via the SDK, the same as it does for Stripe.
How are Square fees handled?+
As an expense account, gross-to-net — sales post gross, Square's processing fees post to their own expense account, payouts reconcile against the net deposit. The books stay honest.
Multiple Square locations into one QuickBooks file?+
Yes — per-location sales with location-level detail, consolidated payouts. If you run a file per location, we handle that too.
What about tips and refunds?+
Tips allocate to their own account or payroll handling as configured; refunds post as proper credit notes — not netted away invisibly.
Your Square + QuickBooks Data, Reachable
If the answers your team needs live in a system nobody can reach, that's fixable — without migration, without VPN, without new infrastructure.
