DocMail (CFH) ↔ Sage 200 Integration

DocMail (CFH)Hybrid mail

Print-and-post API: Sage documents (invoices, statements, remittance/letters) generated and sent as physical post via CFH hybrid mail service.

DocMail (CFH) sits between your Sage 200 ERP and the physical postal network — one API for generating print-and-post jobs, managing address quality and providing proof-of-posting writeback. The awkward part is keeping Sage 200 in sync with this hybrid mail process: which documents trigger print runs, how addresses validate against postal standards, and getting confirmation that letters actually arrived. We build that loop — Sage 200 document types (invoices, statements, remittance advices, letters) trigger batch print runs to DocMail, address quality rules ensure deliverability, and proof-of-posting events flow back to Sage for audit and customer communication.

Data Flows

  1. 1

    Document → print trigger

Sage 200 document types (invoices, statements, remittance advices, letters) trigger batch print runs in DocMail via API — customer, account and document reference pulled from Sage; print quantity and run date sourced from Sage scheduling rules or manual triggers.

  2. 2

    Print → hybrid mail

DocMail prints documents using their hybrid mail service: digital print meets physical postal network. Documents are batched by postcodes/addresses for cost efficiency, with DocMail handling the entire postal journey — from printing through to delivery confirmation.

  3. 3

    Address quality

DocMail validates addresses against Royal Mail PAF and CFH address database before printing. Invalid addresses trigger a queue entry for correction in Sage, preventing undeliverable mail that damages customer trust. Validated addresses stored back in Sage for future runs.

  4. 4

    Proof-of-posting writeback

Completed mail items generate proof-of-posting with tracking details: delivery date, time, carrier scanning data and delivery signature capture where available. This flows back to Sage — either as a status update on the document record or a separate proof-of-posting table for audit and compliance tracking.

  5. 5

    Exceptions

Failed jobs (insufficient address data, print errors, postal service failures) raise a queue entry — user fixes in Sage (add missing data) or DocMail (adjust print rules), jobs retry. No silent drops that leave customers wondering about their documents.

Where These Integrations Go Wrong

The failure modes we design around — most DocMail (CFH) ↔ Sage projects hit at least two of these.

Batch timing vs urgent documents

Some documents need urgent delivery (e.g. overdue invoices). DocMail's hybrid service still has postal constraints — we either prioritize within the batch or offer express routing from the same print facility. Sage rules control the urgency classification.

Address data quality

Sage 200 stores loose UK postcodes and sometimes incomplete address lines. DocMail validation catches 90% of issues, but some require manual correction in Sage. Build address maintenance workflows early or it becomes a backlog queue.

Print volume forecasting

DocMail has print run capacity limits. We forecast volumes from Sage document types and customer tiers, scheduling runs to balance cost efficiency with service levels. Over-forecasting blocks the service, under-forecasting delays customer communications.

Proof-of-posting timing

Physical mail delivery takes time (same day, next day, two day). Sage's document status can't assume immediate 'posted' — we need clear status steps (printed, dispatched, delivered) to avoid customer confusion about document arrival.

What's Included

  • Sage 200 document trigger → DocMail print-and-post API (invoices/statements/remittance/letters)
  • Address validation against postal standards (PAF + CFH)
  • Proof-of-posting writeback to Sage document records
  • Exception queue with retry for failed jobs
  • Batch optimization for cost efficiency (postcode clustering)
  • Test-company UAT against your live DocMail (CFH) account

Who It's For

Businesses sending physical documents to customers where speed isn't critical but reliability and audit matter — financial services, insurance providers, utilities and B2B distributors. Those with high volumes of invoices, statements or compliance letters where 'posted' needs to be provable. Works whether Sage 200 is on-prem or hosted, provided we can reach the DocMail API and your Sage database.

FAQ

What document types can DocMail print?

DocMail handles standard business documents: invoices, statements, remittance advices, cover letters, reminders and compliance documents. Custom document layouts can be added via DocMail's templating engine if they match the print-to-post workflow.

Can urgent documents bypass normal batches?

Yes — Sage can mark documents as urgent, triggering either express routing within the batch or a separate express print run. The DocMail API supports service-level overrides where available.

What happens to returned mail?

DocMail doesn't handle returned mail — that's your responsibility. Sage should capture returned documents (e.g. 'R' status) so customers know they weren't received. Some DocMail customers add return-address printing for feedback loops.
