Sage CRM ↔ Epicor Prophet 21 Integration

Epicor P21ERP ↔ CRM

When your sales floor runs Sage CRM but the distribution back office is on Prophet 21 — customers, quotes and credit states kept in step across both.

This pairing shows up in distribution businesses where Sage CRM has been the commercial front-end for years while Epicor Prophet 21 owns orders, stock and fulfilment — sometimes after an acquisition, sometimes as a deliberate best-of-breed split. Sage CRM's Sage-side sync assumes Sage 200 is the ledger; when the real ERP is P21, the gap is custom work: customers and contacts need to exist once (not typed into both), quotes raised in CRM have to become P21 orders with the right customer/account mapping, and credit status from P21 has to gate what CRM users can promise. The subtleties are identity (a 'customer' means different things in a CRM and a distribution ERP), pricing authority (P21's contract pricing must win), and ownership of the truth per entity.

Data Flows

  1. 1

    Customers & contacts

One-way creation per direction — new accounts originate in Sage CRM (sales territory, source data) and provision into P21; P21 pushes back the account numbers and credit terms that CRM needs to display.

  2. 2

    Quotes → P21 orders

A quote won in Sage CRM generates the P21 order with lines, pricing and delivery details — the order number returns to the CRM opportunity so reps see fulfilment state without a P21 login.

  3. 3

    Pricing authority → P21

Contract prices, quantity breaks and customer-specific pricing live in P21. CRM shows them read-only; quotes that drift off-contract price get flagged before they reach the customer.

  4. 4

Credit & order status → CRM

Credit-hold state, order status and despatch tracking push to Sage CRM — the rep's dashboard shows 'on stop' or 'shipped' from P21 truth, not a stale copy.

Where These Integrations Go Wrong

The failure modes we design around — most Epicor P21 ↔ Sage projects hit at least two of these.

Who owns the customer?

Two systems creating customers independently = duplicates and split transaction history. Pick the direction per entity (CRM originates, P21 confirms is the usual pattern) and enforce it technically.

Two pricing models that don't match

CRM quotes priced from a static list diverge from P21 contract pricing the moment a break or special exists. Quotes should price-check against P21 live, or every deal needs a manual correction.

Sage CRM's Sage 200 sync won't reach P21

The built-in Sage CRM ↔ Sage 200 integration assumes a Sage ledger — it can't be pointed at P21. The integration is entirely bespoke; don't budget for 'configuration'.

Order visibility vs order entry

Decide whether CRM only displays P21 orders (read-only sync, simpler) or writes them (full quote-to-order, deeper). Half-built write paths are worse than a clean read sync.

What's Included

  • Customer/contact unification with direction-of-truth rules
  • Sage CRM quote → P21 order conversion with order-number writeback
  • P21 contract pricing surfaced in CRM for quote validation
  • Credit-hold and order/despatch status sync to CRM
  • Duplicate detection and merge handling on the join
  • UAT covering quote→order→despatch end-to-end in both systems

Who It's For

Distributors running Sage CRM against an Epicor Prophet 21 back office — typically post-acquisition pairings or deliberate CRM/ERP splits — where reps live in CRM but can't see real credit, pricing or order state.

FAQ

Is this the same as Sage 200 integration?

No — Sage CRM's native sync assumes Sage 200 as the ERP. P21 is Epicor's distribution ERP with a different API (Dynachange/Business Rules, REST in newer versions). The CRM side still looks like a Sage integration; the ERP side is Epicor work.

Should we consolidate to one system instead?

If the pairing is temporary or the CRM is underused, consolidation is often right — P21 has CRM-ish features, and Salesforce/Dynamics also integrate P21. We scope both paths honestly; the integration makes sense when both systems are genuinely embedded.

What about Sage 200 ↔ P21 directly?

That's an ERP-to-ERP pairing — migration territory rather than a running integration. Two ledgers shouldn't live side by side; we usually scope that as migration, not sync.
