Salesforce ↔ Sage 200 Integration

SalesforceCRM

Real-time CRM ↔ ERP loop — accounts, opportunities, products and money flow between Salesforce and Sage 200 so sales reps see credit limits, inventory and invoice status without switching systems.

Salesforce holds the sales org, opportunities, contacts and forecasts. Sage 200 holds the books, stock and customer payments. The integration makes them sing — you can see a lead in Salesforce, track it through the pipeline, auto-create a quote in Sage 200 when it becomes a qualified opportunity, sync product+pricebook pricing, handle credit limits and on-hold flags in real time, and write invoice/payment status back to the CRM so your rep knows when the deal is actually won. The foundation is a two-way sync between the account/contact records, opportunity-to-quote/order conversion, and price/resource mapping. The subtlety is handling exceptions: a deal that changes credit terms in Salesforce should impact inventory availability in Sage; a payment applied in Sage should update the opportunity stage in Salesforce automatically.

Data Flows

  1. 1

    Accounts/Contacts → CRM

Customer accounts and contacts sync from Sage 200 into Salesforce — all contact details, credit status, communication preferences and balance are kept current. Account-level fields (credit limit, payment terms, on-hold status) drive Salesforce visibility flags so reps don't chase on-stop customers.

  2. 2

    Opportunities → SOP/Quotes

When a Salesforce opportunity reaches the 'Qualify' stage (or any configurable stage), it auto-creates a Sage 200 SOP quote with the right customer, products (priced from Salesforce's pricebook), analysis codes and expected close date. The quote references the Salesforce opportunity so you can trace the full sales path.

  3. 3

    Products & pricebooks → inventory

Sage 200 product catalog with pricing updates sync into Salesforce pricebooks; when an opportunity grows, Salesforce pricing layers (negotiated, volume discounts, terms) populate the Sage quote line items automatically. Inventory availability from Sage (branch, warehouse, on-hand quantities) blocks opportunities in Salesforce if the deal can't be delivered — no oversell.

  4. 4

Invoices & payments → opportunity stage

Sage 200 invoices posted against an SOP link back to the originating Salesforce opportunity. Payment status (partial, overdue, cleared) updates the opportunity stage in Salesforce — moving 'Won' deals into 'Invoicing' or 'Closed Won' when the invoice clears. Payment terms changes in Salesforce trigger credit-limit logic in Sage.

Where These Integrations Go Wrong

The failure modes we design around — most Salesforce ↔ Sage projects hit at least two of these.

Opportunity stage ↔ SOP status mapping isn't perfect

Salesforce has more stages than Sage 200 order status. We build a rule map (e.g. 'Proposal' → 'Quote Issued', 'Negotiation' → 'Quote Pending', 'Won' → 'Quote Converted') — but mismatches still happen. A 'Won' opportunity converted to SOP quote that never clears can confuse reps.

Credit limit sync is bidirectional

If a rep approves a deal in Salesforce that exceeds the customer's credit limit, Salesforce shows the block, but the opportunity may have already been converted to SOP in Sage. We gate SOP creation on the limit check before Sage sees the deal.

Pricebook changes affect live orders

When Salesforce updates negotiated pricing or volume discounts, the synced pricebooks refresh (live or scheduled). Any quote/order in Sage built from that pricebook is either updated (if still draft) or becomes a price-exception line (if already processed).

Currency & multi-company complexity

Salesforce and Sage 200 may run different currencies or span multiple companies. The sync handles per-company currency pairs, rate overrides and reporting currency mismatches, or customers get wrong invoices or wrong forecasts.

What's Included

  • Customer account and contact sync (all key fields + audit trail)
  • Opportunity-to-SOP quote conversion at configurable stages
  • Salesforce pricebook → Sage product+pricebook mapping, editable without code
  • Real-time inventory availability blocking in Salesforce opportunities
  • Bidirectional credit limit and on-hold status sync
  • Invoice/payment status writeback updating Salesforce opportunity stage
  • Currency and multi-company handling across the sync

Who It's For

Sage 200 users running Salesforce as their CRM — distributors, manufacturers and service businesses where sales reps need to see the complete customer financial picture (credit, inventory, invoicing) within the CRM. Typical customers have mature Salesforce orgs (custom objects, automation) and mid-to-high Sage 200 usage (credit management, multi-branch).

FAQ

What about quote lifecycle — can we hand-edit a Salesforce opportunity after it's created in Sage?

Yes — Sage quote editing flows back to Salesforce status changes (like 'Quote Returned', 'Negotiation'). Rep changes in Salesforce are mirrored into Sage if the quote is still in draft; once it's converted to SOP or shipped, we write to a sync audit log rather than overwriting completed orders.

Does this handle trial/credit periods?

Trial discounts and credit periods in Sage sync to Salesforce as line-item terms. When the trial ends, Salesforce sees the regular price in the opportunity and can block based on credit checks. If Sage credits are posted in bulk, the sync writes a note back to Salesforce customer record rather than changing each opportunity line.

What about customer deactivation in Sage?

Sage customer status changes (on-hold, inactive, terminated) write back to Salesforce — typically we mark the account as 'do not sync' or grey it out in the rep's view. Salesforce reps see the stop flag automatically, but the account remains for historical reporting.
