UK Mail / DHL Parcel ↔ Sage 200 Integration

UK Mail (DHL Parcel UK)Courier

Direct courier integration — despatch books the collection, labels print at the bench, tracking lands back on the despatch note.

If UK Mail (DHL Parcel UK) is your contracted carrier and Sage 200 is your order system, the integration is a classic two-way loop: Sage despatch → UK Mail consignment API (book, label, manifest) → collection → tracking events → writeback. Doing it directly against the carrier API (rather than via a delivery-management platform like Metapack) is cheaper per parcel and fine when you have one or two carriers. The work is in the Sage side: making despatch the trigger, mapping your Sage shipping methods to UK Mail service codes (next-day, 2-day, timed, pallet), and turning DHL's tracking statuses into something a customer sees inside Sage.

Data Flows

  1. 1

    Despatch → consignment

On despatch-complete in Sage 200, parcels are booked via the UK Mail/DHL Parcel consignment API. Service code comes from the SOP delivery method (or an order-level override); weights default from a packaging rules table where Sage stock items don't carry them.

  2. 2

    Labels

The API returns a label (PDF/ZPL) printed at the packing bench. Consignment number is stored against the Sage despatch record the moment it's created — before the truck arrives, not after.

  3. 3

    Manifest & collection

End-of-day manifest closes against UK Mail's collection booking. Missed manifest cut-off times are surfaced to the despatch team in Sage (orders cut over to the next day's manifest instead of silently failing).

  4. 4

    Tracking writeback

Delivery status events (out for delivery, delivered, failed, returned) push back into Sage — either onto the despatch record or a tracking table per SOP — powering despatch emails and a 'where is my order' view without logging into DHL's portal.

Where These Integrations Go Wrong

The failure modes we design around — most UK Mail (DHL Parcel UK) ↔ Sage projects hit at least two of these.

Consignment ≠ order line

An order can despatch in multiple parcels and a parcel can serve multiple orders (consolidated ship). The Sage model has to be parcels-per-despatch, not one-tracking-number-per-order — get this wrong and returns become unaccountable.

Manifest cut-off is a real constraint

The collection booking closes at a fixed time. Despatching after cut-off must roll to tomorrow's manifest or the collection request fails — build the cut-off into despatch, don't let it error at 5pm.

Address validation

UK Mail validates UK postcodes/addresses hard; Sage data is often loose. Run the booking through validation with a human-fix queue rather than rejecting the despatch outright.

Timed & named-day services

Timed delivery (by-10, by-12, Saturday) and named-day options are service codes — if you sell them, the code map needs a rule per service, and surcharge-aware pricing has to come from Sage, not the courier.

What's Included

  • Despatch-triggered UK Mail consignment booking with service-code mapping
  • Label printing at pack bench (PDF or ZPL direct to carrier printers)
  • Manifest close with cut-off handling and next-day rollover
  • Tracking writeback into Sage despatch records
  • Failed-booking queue with validation errors surfaced for fixing
  • Test-company UAT against your live DHL Parcel account

Who It's For

Businesses shipping UK-parcel volume on contracted UK Mail/DHL rates where a delivery-management platform's per-parcel fee doesn't make sense — typically one or two carrier contracts and straightforward despatch. If you need multi-carrier rate-shopping, see the Metapack integration instead.

FAQ

UK Mail vs DHL Parcel — which API?

UK Mail is DHL Parcel UK; the current consignment API is DHL's domestic API (the old UK Mail SOAP gateway is being retired for most customers). We build against whichever contract you hold — the Sage-side logic is identical either way.

Can despatch staff override the auto-chosen service?

Yes — the mapping is a default, not a lock. A despatch screen can show the booked service and let staff bump next-day to timed, or split to pallet, with the cost difference surfaced before confirm.

What about customer collections (returns)?

Return consignments can be booked the same way — a returns authorisation in Sage creates a reverse consignment with a pre-addressed label emailed to the customer. The returns flow in Sage 200 handles the credit side.
